What PHW holds when you send a quote request, email a quiz or self-check result, or are put forward for training, why we hold it, and who can see it.

From the quote form: name, company, email, phone number where given, what you need, the machine or topic, the number of people, the site postcode, and any message you add.
From the quizzes and the self-check: your email address, the trade and your yes or no answers, if you choose to email them to us. Those answers show where your paperwork has gaps, so send them only if you are happy for us to read them.
To answer your enquiry or the result you emailed us, and to work out and send a quote. Our lawful basis is legitimate interests: our interest in answering the business enquiries people send us and quoting for training and safety packs. Where the enquiry is heading towards a booking, we also rely on taking steps at your request before entering into a contract.
When you press Send, your browser passes the form to FormSubmit (formsubmit.co), a form-to-email service run by a separate company, which emails it to us. FormSubmit does not publish where it handles data, so your details may be processed outside the UK. We do not run our own form backend or database for these submissions; the copy we hold is the email in our inbox.
When PHW trains and certificates someone, we hold their name, the qualification, the certificate reference, the award and renewal dates and the assessor's decision. The names may come from the employer who put people forward. That record is what the Verify page shows when someone scans the QR code on the certificate or enters the operator reference, so anyone holding the certificate or the reference can see it. Date of birth and home address are not shown. If you are an operator and a detail is wrong, or an employer with a question about the records of people you put forward, email us at the address above.
We keep an enquiry for as long as we need it to answer it. If it leads to a booking, we keep the details for as long as we need them to deliver the training, issue certificates and keep the record the Verify page shows. When we no longer need them, we delete them.
You can ask to see, correct or delete the information we hold about you, ask us to restrict how we use it, or object to how we use it. Where it applies, you can also ask for your information in a portable format. Contact ade.whetton@phwltd.com.
If you are unhappy with how we have handled your information, you can complain to us at ade.whetton@phwltd.com. We will acknowledge your complaint within 30 days and tell you the outcome without undue delay. You also have the right to complain to the Information Commission at ico.org.uk.
